New Vendors must email photos of your booth set up and the items that you sell to vendors@montanarenfest.com.
You will be contacted to let you know if you are accepted

Please note that we are not accepting any new crochet or 3D print vendors, and do not accept MLMs or direct sales vendors.

Vendor Rules 

  • Applications will be available on the MRF site no later than January 2nd of the Festival year.
  • Applications are due April 1st of the Festival year.  Anyone wishing to apply after April 1st will need to communicate with Ken Haak, Chief Organizer.
  • All application fees are non-refundable.
  • By submitting an application, you and everyone with your booth/troop/act are consenting to follow the rules set forth by MRF Events
  • Violation of these rules may result in your expulsion from the festival, forfeiture of your application fee, and potentially not being asked/allowed to return for future festivals.
  • The food, goods and services we accept must relate to medieval/renaissance times (14th-17th century), and/or be presented in a medieval fashion.  A description of goods must be included with this application.  You should not sell ANY items that you don’t include in your description.

Furthermore if you are found to be selling items that you did not list you may be asked to remove them from your booth and/or not be allowed to vend at future events.  Please contact Ken with any questions.

Your booth fee includes entry for 2 people per 10×10 space.  Additional vendor passes can be purchased for $10 each.  Performers shall receive 1 guest pass per performer.  Those groups providing volunteers for setup/tear down/other shifts will not need to purchase additional passes.

  • Pursuant to County regulations, food vendors must meet all County Food Service Rules and possess all necessary permits/licenses. Any food vendors who do not already possess a valid license must apply for and be granted license prior to applying. Proof of such license must be provided at least 7 days prior to the event. Contact Scott Vandell at 406-446-1694 for food related questions and the Sheriff’s Office at 406-446-1234 (carboncosheriffs.org) for questions regarding alcohol.

Booths

  • Please be accurate when selecting a booth size on your application.  If your booth setup falls outside of the sizes listed, please make a note on your application as to the actual dimensions so that we can plan your location accordingly.
  • Booth assignments will be plotted, and setup details provided closer to the event.  Please make any special booth requests on this application and we will make every effort to accommodate your needs.
  • No camping inside of the main gates.  Any exemptions to this will be decided by Ken.
  • All booths should be designed to be as medieval/renaissance as possible. You can find many examples on line or check with Ken if you have questions concerning your setup.  The goal is to look like a medieval village, not a farmers’ market. 
  • Your booth should have signage indicating your booth/business name.
  • Booth setup starts at 8am on Friday.  All booths are to be set up by Friday night.  If you plan on arriving after 6pm, please notify the Montana Renaissance Festival FB page via Messenger.  Anyone who does not have their main structure in place on Friday will not be participating in the festival that weekend.
  • When setting up your booth you may drive in, drop off your gear, and then drive out to park.  Do not leave your vehicle on the grounds while you set up.
  • You are responsible for making sure that your booth is adequately secured via stakes, guy lines, and/or weights.  Any damages caused by your booth will be your financial responsibility, and may result in your removal from our festivities. 
  • Food vendors may use their vehicles to resupply their booth on Saturday and Sunday morning between 7 and 8am.  Non-food vendors may use their vehicles to resupply their booths between 6 and 8pm on Saturday.  No vehicles will be allowed on the festival grounds outside of those times.
  • All vendors will be set up and ready for the day by 9am on Saturday.
  • Vendors are responsible for any garbage at their booth.  Bagged trash is to be deposited in the large bins at either end of the grounds.  
  • Booth tear down starts at 4pm on Sunday and should be completed by 8pm.
  • We are committed to providing reasonable accommodations, but it’s important to note that we do not have ownership of the property, which places certain limitations on our ability to make modifications. While we will do our utmost to ensure accessibility and convenience for all, please understand that our ability to make changes is constrained by the property’s ownership and the constraints it imposes. To allow for necessary preparations, we kindly request a minimum of 8 weeks notice, sent to vendors@montanarenfest.com,  for any requested modification or accommodation.

The Montana Renaissance Festival Inc (MRF) reserves the right to determine the continued eligibility of vendors for future events. This decision is at the sole discretion of MRF and may be based on factors including, but not limited to, adherence to festival themes, compliance with vendor agreement terms, and overall contribution to the festival atmosphere. As such, MRF retains the authority to discontinue a vendor’s participation in subsequent festivals without prior notice.

Waiver: 

  • The vendor will not hold Red Lodge Rodeo Grounds or the Montana Renaissance Festival responsible for any damage, expense or liability arising from any injury or damage to said participant, your agents or employees or to your property. The participant agrees to indemnify Red Lodge Rodeo and the Montana Renaissance Festival for any and all damages, claims or disbursements made for or on behalf of the participant. 

General

  • Participants agree to not bring outside animals on Rodeo/Festival grounds unless these animals are specific to the event (such as with jousting or the raptor show) without prior permission from Ken.
  • All vendors/entertainers are to be dressed in medieval style garb at all times on the festival grounds.  Examples of appropriate garb include (but are not limited to) tunics, leggings, kilts, dresses, armour… .  All weapons are to be peace tied.  Any vendor selling weapons is expected to have them peace tied at the time of sale.
  • Vendors/entertainers are expected to use the Kings Speech during the festival.  Examples/guides can be found on our Facebook vendor page.
  • All vendors/entertainers are encouraged to join our vendor page on Facebook – The Marvelous MT Renn Fest Vendor/Entertainer Group (https://www.facebook.com/groups/3026435984065076) – as this is where the most up to date information can be found.
  • While on Rodeo/Festival grounds participants and their employees are expected to follow Rodeo/Festival policies. This includes, but is not limited to, wearing appropriate clothing, refraining from using offensive language, staying in public areas of the Rodeo/Festival grounds and treating animals and guests with respect.
  • All children accompanying vendors must be supervised at all times.
  • There is absolutely no smoking or vaping on Festival grounds.
